# Free drywall invoice template (English + Spanish)

**A drywall invoice is the bill you send the GC or client for work done: base contract work, extra work on change orders, and any retainage held back. This free bilingual template has column headers in English and Spanish, with a line for every item, so the office can bill each job completely and follow up when a payment is late.**

The column headers are in both languages. The EJEMPLO row is **sample data**, not a real job, and the brackets are where your own numbers go.

## Why a clear invoice matters for a drywall sub

- **Extra work gets billed.** Change orders and extra work agreed on site are easy to lose between the job and the office. Giving each change order its own line, with its CO number, helps make sure it's on an invoice and not forgotten.
- **Retainage is tracked.** When part of each payment is held back as [retainage](/glossary/retainage.html), writing the percent and the amount held on every invoice makes it easier to see what's still owed at the end of the job.
- **Past-due follow-up is easier.** With the invoice number, amount due and due date in one place, the office can see which invoices are [past due](/glossary/past-due-invoice.html) and follow up with the right numbers.
- **Fewer questions from the GC.** A PO or contract number, a clear description and the previous payments make the invoice easier to check and approve.

## The template

[Download the bilingual CSV](https://tapeandfloat.com/downloads/TapeAndFloat_Drywall_Invoice_Factura.csv) (opens in Excel or Google Sheets; one row per line item).

| Column / Columna | EJEMPLO (sample data) |
|---|---|
| Invoice # / Factura N.º | EJEMPLO / EXAMPLE INV-0000 |
| Invoice date / Fecha de factura | 10/28 |
| Job / address / Obra / dirección | Sample Townhomes, Unit 3 (example) / Townhomes de ejemplo, Unidad 3 |
| Client / GC / Cliente / contratista general | Example Builders LLC (sample) / Constructora de ejemplo |
| PO or contract # / N.º de orden de compra o contrato | PO-0000 (example / ejemplo) |
| Line item description / Descripción de la partida | Extra work: patch and finish garage ceiling / Trabajo extra: resanar y terminar techo del garaje |
| Qty / Cantidad | 1 |
| Unit / Unidad | job / trabajo |
| Unit price / Precio unitario | [your price / su precio] |
| Line total / Total de la partida | [qty × unit price / cantidad × precio] |
| Change order # / Orden de cambio N.º | CO-0000 (example / ejemplo) |
| Retainage % / Retención % | [per contract / según contrato] |
| Retainage held / Retención retenida | [line total × % / total × %] |
| Previous payments / Pagos anteriores | [paid so far / pagado hasta hoy] |
| Amount due / Monto a pagar | [total − retainage − paid / total − retención − pagado] |
| Due date / terms / Fecha de pago / condiciones | [per contract or invoice terms / según contrato o condiciones] |
| Notes / Notas | Signed CO attached / Se adjunta la orden de cambio firmada |

## How to fill it in

1. **One invoice number per invoice.** Use the same number on every line of that invoice so you can sort and total it later.
2. **Add the job, client and PO or contract number.** Use whatever reference the GC asks for, so the invoice matches their records.
3. **One line per item.** Put base contract work and each change order on separate lines. Put the change order number on any line for extra work.
4. **Fill in quantity, unit and your price.** Line total = quantity × unit price.
5. **Write down retainage and previous payments.** Use the retainage percent in your contract, and list what's already been paid if you bill on a running total, as on a [pay application](/glossary/pay-application.html) or with [progress billing](/glossary/progress-billing.html).
6. **Set the due date or terms from your contract**, then send the invoice with any signed change orders attached.
7. **Follow up when it's late.** Use the reminder format below, and note each follow-up in "Notes".

### Payment reminder format (English + Spanish)

The Spanish version uses "usted", which most offices use with clients and GCs.

```
## Frequently asked questions
### What should a drywall invoice include?
An invoice number and date, the job and address, the client or GC, any PO or contract number, a line for each item with quantity, unit, price and total, change order numbers for extra work, retainage held, previous payments, the amount due and the due date or terms.
### Should change orders go on their own lines?
Yes. Putting each change order on its own line with its CO number makes it easy to check that every approved extra was billed, and easier for the GC to match it to the signed change order.
### How do I show retainage on an invoice?
Write the retainage percent from your contract and the amount held on this invoice. Keeping it on every invoice helps you see the total held back when it's time to ask for it at the end of the job.
### What if an invoice is past due?
Send a polite reminder with the invoice number, amount and original due date, attach a copy, and ask when it's scheduled to be paid. Check your contract for your payment terms and talk to an attorney about any legal steps.
### Can I send the reminder in Spanish?
Yes. This page has the reminder in English and Spanish, and the Spanish version uses "usted", which is the respectful form for clients and GCs.
### Do I need TapeAndFloat to use this template?
No. The CSV is free and works in Excel or Google Sheets with no sign-up. TapeAndFloat is a separate AI office assistant that reads the texts and emails you forward, in English or Spanish, and flags unbilled change orders and past-due invoices in a Google Sheet.
