Free drywall pay application template (English + Spanish)

By James Grokman, CEO, TapeAndFloat · Updated 2026-10-28

A pay application (pay app) is the progress bill a drywall sub sends the GC, usually once a billing period, showing how much of each line in the schedule of values is done, approved change orders, retainage held and the amount due. This free bilingual template is a schedule-of-values (continuation sheet) style spreadsheet with column headers in English and Spanish, so the office can bill progress line by line and check the math before it goes out.

The column headers are in both languages. The EJEMPLO row is sample data, not a real job, and the brackets are where your own numbers go.

This is a simple spreadsheet, not an AIA G702/G703 form, and TapeAndFloat is not affiliated with AIA. If your GC requires their own pay app form (or AIA documents), use theirs. You can still use this sheet to work out the numbers first. See AIA G702/G703 in the glossary for what those forms are.

The template

Download the bilingual CSV (opens in Excel or Google Sheets; one row per line of your schedule of values).

How to fill it in

  1. Set up the schedule of values once. List one line per part of the contract, for example hanging, tape and finish by level, texture, and any extras in the contract. If the GC gave you their own line breakdown, use theirs. The scheduled values should add up to your contract amount.
  2. Add approved change orders as new lines. Put the CO number in its column and the approved amount as the scheduled value. Only add change orders that are approved in writing.
  3. Carry last period forward. Each period, "Work completed – previous periods" is last pay app's "Total completed and stored to date" for that line.
  4. Enter this period's work. Bill the amount of each line done since the last pay app.
  5. Materials stored only if your contract allows it. Leave the column blank if it doesn't.
  6. Check the math on every line. Total = previous + this period + stored. % complete = total ÷ scheduled value (never over 100%). Balance to finish = scheduled value − total. Retainage held = total × your contract's retainage %. Amount due = total − retainage held − previous payments. Add a totals row and check it against the contract amount plus approved change orders.
  7. Submit it by the GC's cutoff with any backup they ask for (signed change orders, photos), using the email below, and note the date sent in "Notes".

Email to the GC submitting the pay app (English + Spanish)

The Spanish version uses "usted", which most offices use with GCs.

Frequently asked questions

What's the difference between a pay application and an invoice?

An invoice bills specific items or a fixed amount. A pay application bills progress against the whole schedule of values: for each line it shows what was done before, what was done this period, retainage held, previous payments and the amount due. Many GCs ask subs for pay apps on larger jobs.

Is this an AIA G702/G703 form?

No. It's a simple spreadsheet with similar schedule-of-values columns, and TapeAndFloat is not affiliated with AIA. If your GC requires AIA documents or their own form, use theirs. You can use this sheet to work out the numbers first.

How do I add a change order to a pay app?

Once a change order is approved in writing, add it as a new line with its CO number and the approved amount as the scheduled value. Then bill it by progress like any other line.

How do I show retainage on a pay app?

Write the retainage percent from your contract and the retainage held on each line. Keeping it on every pay app shows the total held back, so you know what to ask for at the end of the job.

Why would a GC send a pay app back?

Common reasons are math that doesn't add up, a line billed over 100%, "previous" numbers that don't match last period, change orders that aren't approved yet, missing backup, or using a different form than the GC asked for. Checking each line before you submit helps.

Do I need TapeAndFloat to use this template?

No. The CSV is free and works in Excel or Google Sheets with no sign-up. TapeAndFloat is a separate AI office assistant that reads the texts and emails you forward, in English or Spanish, and flags unbilled change orders and past-due invoices in a Google Sheet.
