Free drywall delivery / receiving checklist (English + Spanish)
By James Grokman, CEO, TapeAndFloat · Updated 2026-10-28
A drywall delivery or receiving checklist is the sheet the foreman or office fills in when material lands on the job: what was ordered, what actually arrived, what came damaged, wet or wrong, and where it was stocked. This free bilingual template has column headers in English and Spanish so the crew can check each load against the order the same day and the office can sort it out with the supplier.
The column headers are in both languages. The EJEMPLO row is sample data with placeholders like [qty], not a real job or a real delivery. It pairs with the free drywall material order template: the order says what should arrive, this checklist records what did.
Why check every drywall delivery
- Short or wrong board. A missing stack, or regular board where the order says Type X, is easy to fix the day it lands and hard to fix when the crew runs out halfway through a room. Comparing "Qty ordered" with "Qty received", row by row, catches it while the driver is still there or the same day.
- Damaged board. Broken corners and cracked sheets get hung anyway if nobody sets them aside. Write down what and how many, take a photo and tell the supplier the same day.
- Wet board. Board left out in the rain or delivered wet should be set aside and reported, not stocked with the good board.
- Stocking on the wrong floor. Board left in the garage or on the wrong floor costs the crew time carrying it. The "Stocked where / floor" column shows whether it went where the order said.
- Unbilled extras. If the GC asked for extra material that wasn't in the original order, it's extra work. Write it on a change order so it gets approved and billed instead of eaten.

How to use it
- Bring the order to the delivery. Print or open the material order for that job and PO number so the person receiving has the list in hand.
- Count before the driver leaves, if you can. One row per item: write the quantity ordered and the quantity received. If it doesn't match, ask the driver to note it on the delivery ticket.
- Check size, type and condition. 1/2" regular, 5/8" Type X, moisture-resistant: compare each stack with the order. Set aside anything damaged, wet or wrong and write what and how many.
- Take photos. Photos of short, damaged or wet material make the call to the supplier much easier. Mark "Photo taken".
- Write where it was stocked. Floor and rooms, so the crew knows where to find it and the office can see if it went to the wrong place.
- Report it the same day. The foreman texts the office with the format below; the office emails the supplier. Anything the GC added goes on a change order.

Delivery phrases for the crew, the office and the supplier
The crew text uses "tú", the way most crews talk to each other; the supplier email and these phrases use "usted", the polite form most offices use with a supplier or delivery driver.

Frequently asked questions
What is a drywall delivery receiving checklist?
A sheet filled in when material arrives on the job: job, delivery date, supplier, PO number, each item with size and type, quantity ordered and received, anything damaged, wet or wrong, where it was stocked, who checked it and whether photos were taken.
Who should check the delivery?
Whoever is on the job when it lands, usually the foreman or crew lead. Put their name in "Checked by" so the office knows who to ask.
What do I do if the delivery is short?
Write the quantity received next to the quantity ordered, ask the driver to note it on the delivery ticket if you can, and send the office a text the same day. The office then emails the supplier with the PO number and what is missing.
What about wet or damaged board?
Set it aside, don't stock it with the good board, write what and how many, and take photos. Report it to the office and the supplier the same day so it can be replaced.
How does this work with the material order template?
The material order template lists what you ordered, by item and area. This checklist records what actually arrived against that order. Use the same PO number on both so they match up.
Do I need TapeAndFloat to use this template?
No. The CSV is free and works in Excel or Google Sheets with no sign-up. TapeAndFloat is a separate AI office assistant that keeps jobs, crews and money straight in a Google Sheet and flags change orders with no written approval or no matching invoice line, so extras don't go unbilled.
